How Vela Works
CC Vela on any email, SMS, or WhatsApp thread and say what you need in plain language:
Looping in Vela. Please schedule a 60-minute discovery call with Rachel from Acme Inc next week.
No required syntax and no fixed parameters. "Early next week," "after the holiday," and "sometime before the offer goes out" all parse.
It parses who is on the thread, what kind of meeting this is, how long it should run, and who needs to be there. It checks your calendar for real availability rather than asking you to confirm it.
It reaches out to the other participants in their own time zone with concrete options:
Hi Rachel, I am coordinating a discovery call with our team. Based on availability, here are three options: Tue, Oct 21 · 10:00-11:00 AM PT Wed, Oct 22 · 2:00-3:00 PM PT Thu, Oct 23 · 9:00-10:00 AM PT
If someone does not answer, Vela follows up on its own schedule rather than yours. This is the step that costs recruiting teams the most hours and the one that disappears completely.
Once a time lands, Vela sends the calendar invite, attaches what belongs with it (the resume, the job description, the dial-in), and confirms to everyone:
Confirmed. Discovery call with Rachel from Acme Inc booked for Wed, Oct 22 · 2:00-3:00 PM PT.
Someone reschedules at 9pm. Vela re-coordinates with every party, updates the invite, and notifies the room. You find out that it happened, not that it needs doing.
What this replaces#
A single interview panel usually costs a coordinator a dozen messages: proposing, waiting, re-proposing after one person declines, chasing the person who never replied, rebuilding the whole slate when a hiring manager moves a block. Vela runs that entire sequence, and it runs it at 2am when your candidate in Singapore finally answers.
What stays with you#
Vela negotiates. It does not decide who gets hired, which candidate advances, or what a role is worth. You keep every judgment call that matters, and hand over the part that never needed a human in the first place.
